AI can be useful in ordinary business operations, but it behaves differently from traditional deterministic software. It may misunderstand ambiguous text, omit information, or produce a plausible answer that is not supported by the source material. The workflow therefore matters as much as the model.
Start with bounded assistance
Good candidates include classifying incoming requests, extracting draft fields from documents, summarizing notes, searching internal procedures, preparing a response for review, or identifying records that deserve attention. These tasks save time while leaving final authority with a person or deterministic business rule.
Preserve the source material
Users should be able to inspect the document, email, record, or policy behind an AI-generated result. A summary without traceability is difficult to verify and can create false confidence.
Use confidence and exception paths
The system should distinguish routine cases from ambiguous ones. Missing fields, contradictory information, low-confidence classifications, or unusual amounts should be routed to a review queue rather than forced through an automated decision.
Control access to data and actions
An AI component should receive only the information required for its task and should not automatically inherit broad application permissions. Drafting a proposed invoice adjustment is very different from being able to post the adjustment directly.
Log prompts, outputs, decisions, and approvals
Operational AI needs an audit trail. The business should know which model and instructions were used, what information was provided, what output was produced, whether a person changed it, and which final action occurred.
Measure the business outcome
Success should be defined in operational terms: reduced handling time, fewer missed documents, faster retrieval, lower exception volume, or improved consistency. “We added AI” is not a useful outcome by itself.
